Cancellation & Refund Policy
Clear, staged rules so you know exactly where you stand before you book. Last updated: 1 January 2026.
| When you cancel | Refund | Note |
|---|---|---|
| 45 days or more before departure | 100% refund | Free cancellation |
| 44 – 30 days before departure | 70% refund | Camp deposit retained |
| 29 – 15 days before departure | 40% refund | Accommodation is committed |
| 14 days or less | No refund | Date change may be possible |
Test-mode bookings
Because Wavelink is an educational prototype, all checkouts run in test mode and no money changes hands. This policy describes how cancellations and refunds would be handled in a live version, and it is the policy you accept at checkout.
How to cancel
Send your demo order number via the contact page. Cancellations are confirmed in writing and the refund tier is based on the date the request is received.
Date changes
- One free date change up to 30 days before departure, subject to availability.
- Later date changes are treated as a cancellation plus a new booking.
- Price differences between departures are charged or refunded.
Cancellations by Wavelink
If a departure cannot run (for example a camp closure or too few participants), you receive a full refund or a free transfer to another departure of the same value.
Refund processing
In a live version, refunds are issued to the original payment method (credit card, TWINT or PayPal) within 10 working days. The 4% service fee is refunded only for cancellations made by Wavelink.
Not included
Flights, travel insurance and personal expenses are booked separately and follow the terms of the respective provider. We strongly recommend travel and cancellation insurance.
